These terms govern your use of TaxBot, a Making Tax Digital (MTD) assistant operated by TaxBot ("we", "us", "our"). By tapping "I Agree" during setup, you confirm you have read and accept these terms.
TaxBot is a Telegram-based tool that helps UK sole traders, CIS subcontractors, and landlords to:
Receipt photos are processed by an AI provider for data extraction. Images are processed in memory and are not stored unless you explicitly opt in to receipt storage during setup.
TaxBot is HMRC-approved MTD (Making Tax Digital) software. It is not a registered tax agent, accountant, or financial adviser. You remain solely responsible for the accuracy and completeness of all data submitted to HMRC.
You must be a UK resident, aged 18 or over, and use TaxBot solely for genuine business tax compliance purposes. One account per person — sharing your account is not permitted.
TaxBot is offered on a monthly subscription basis. Pricing is displayed in the bot at signup. Payment is processed securely by Stripe — we do not store your card details. Subscriptions renew automatically each month. You may cancel at any time via the CANCEL command; access continues until the end of the current billing period. No refunds are issued for partial months.
We reserve the right to change pricing with 30 days' notice sent via the bot.
TaxBot submits data to HMRC on your behalf using the official Making Tax Digital API. Each submission requires your explicit approval within the bot. By approving a submission, you authorise TaxBot to send that data to HMRC in your name. We are not liable for any penalties, fines, interest charges, or tax assessments arising from inaccurate or incomplete data you have provided.
We process your personal data in accordance with our Privacy Policy and UK GDPR. Your consent to data processing is recorded at the time you accept these terms. Sensitive data (National Insurance number, HMRC tokens) is encrypted using AES-256-GCM before storage.
We aim to keep TaxBot available at all times but cannot guarantee uninterrupted service. We are not liable for losses arising from service outages, including outages occurring near HMRC quarterly deadlines. We recommend submitting well before each deadline rather than on the day.
TaxBot relies on the following third-party services to operate: Telegram (messaging), Stripe (payments), an AI provider (receipt processing), Supabase (data storage), and HMRC (tax submission). Each of these providers operates under their own terms and privacy policies.
To the maximum extent permitted by law, we are not liable for: financial loss, HMRC penalties, or tax underpayments arising from use of TaxBot; loss of data; or service interruptions. Our total liability to you in any 12-month period shall not exceed the subscription fees you paid in the preceding 6 months.
We may update these terms from time to time. We will notify you of material changes via the bot at least 14 days before they take effect. Continuing to use TaxBot after changes take effect constitutes your acceptance of the updated terms. Where required, we will ask you to re-accept the updated terms in the bot.
We may suspend or terminate your access if you breach these terms or use the service unlawfully. You may cancel your subscription at any time via the CANCEL command or by contacting us. Upon cancellation, your financial records are retained for 6 years as required by HMRC rules; personal profile data is anonymised on request.
These terms are governed by the laws of England and Wales. Any disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales.
